SUMMARY

A key liaison with wedding and social event clients and internal departments (F&B, lodging, maintenance, security and parking, etc.) by effectively maintaining various communication skill sets. This is accomplished through administrative support, working on special projects as assigned and being proactive and responsive in a timely, friendly, tactful and professional manner.

ESSENTIAL DUTIES & RESPONSIBILITIES (include the following, other duties may be assigned)

  • Work closely with Wedding Sales Manager, fellow coordinators and other internal departments.
  • Maintain an active trace/follow-up system for all incoming inquiry calls and daily job duties.
  • Generate complete and correct daily event schedules and reader boards.
  • Prepare and maintain weekly reports such as weekly resume agenda and Impact sheets.
  • Maintain the banquet event order book along with banquet event order distribution to all pertinent departments.
  • Learn to be fully versed in all venue locations.
  • Organize and keep filing system of past groups.
  • Attend and participate in all required meetings.
  • Keep internal team promptly and fully informed of all problems or unusual matters to optimize solution deployment where appropriate.
  • Utilize Visual One computer program for booking Sales and catering groups.
  • Generate Banquet Event Orders for assigned events.
  • Generate Group Resumes for all hotel events.
  • Utilize Visual One system for accurate blocking of events, groups, traces, and generation of BEOS
  • Work closely with our reservations team to assist with lodging question, etc.
  • Arrive at scheduled work time, with a neat and professional appearance.
  • Maintain calm and focus in dealing with all clients either on the phone or in person.
  • Attend daily departmental meeting as needed.
  • Remain available to hotel colleagues via email while on property
  • Collect, organize, copy, and distribute banquet event orders
  • Up sell full complement of resort activities from water park, Ice Haus, golf, hiking, tram rides, Clips & Reels, etc.
  • Other duties as assigned, which could be directly related, or unrelated to original position.

SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
One year certification from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS
Intermediate Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY
High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS
Visual One Software, Maestro, Microsoft WORD and Excel and Billing principles required.

CERTIFICATES, LICENSES, REGISTRATIONS
Must have valid Driver’s License and be able to meet requirements of Jay Peak Resort’s automobile insurance policies. Must have the ability to rent vehicles.

OTHER SKILLS & ABILITIES
Must be energetic, personable, and service oriented. Excellent reading, writing and oral proficiency in the English Language. Excellent time management skills & ability to multi-task. Ability to learn quickly and become proficient in new software systems. Strong selling and servicing skill set. Catering and banquet service knowledge. Bilingual verbal communication (French and English) highly preferred.

OTHER QUALIFICATIONS
Must be able to handle and prioritize multiple tasks, be detail-oriented, and a self-starter. A forward thinker who can anticipate the needs of the clients and Wedding Sales Coordinator while being a good listener and solution provider. A minimum of one year hotel Convention Service or Hotel catering sales experience required. - Previous structured sales training course a plus.

Specific vision requirements of this job include ability to adjust focus (ability to adjust the eye to bring an object into sharp focus).

WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to working near moving mechanical parts or working in high or precarious places. The employee is regularly exposed to outdoor weather conditions. The noise level in the work environment is usually moderate.

RESORT CONDITIONS
This is a Winter Resort Area. It requires that work venues are varied, and in many cases include steep stairways, multilevel buildings and outdoor work areas, subject to very cold, sometimes wet or very sunny work sites. Some facilities are located at the base or bottom area and some are semi-remote and can only be reached by traveling via chair lift(s), skis or snowboards. Walking surfaces are frequently frozen, sloped and slippery. Proper footwear is a must, indoors and out. Workdays and hours, as well as the number of hours required will vary, with an emphasis on weekends and holidays.
